Job Title: Executive Director

General:
The Executive Director is responsible for providing leadership and overall management of the organization in accordance with established policies and procedures and under the direction of the agency’s Board of Directors.
Accountabilities:
Board Relations
- Maintains regular communication with board members on issues affecting the organization
- Prepares and distributes board meeting schedules and agendas
- Attends all board and executive committee meetings
- Assists with preparation of meeting minutes
- Assists with recruitment and orientation of new board members
- Works with all board committees
- Maintains appropriate records of board activities
- Seeks approval from the board before committing the agency to new ventures
Financial Management
- Provides overall control and direction for agency finances
- Ensures adequate systems of financial monitoring, control, and accounting
- Monitors the availability of cash in relation to expense disbursements
- Maintains relationships with funding sources
- Supervises all bookkeeping and accounting functions
- Prepares annual budget
- Provides monthly financial updates to the board of directors
- Ensures appropriate financial record-keeping
- Schedules and ensures completion of the annual audit
- Compares actual to budgeted revenue and expenses on a monthly basis
- Involves program staff in budget development and monitoring, as appropriate
- Provides leadership for all agency fundraising efforts
- Participates in all major fundraising events
- Completes appropriate reporting to agency funding sources
- Seeks out opportunities to expand the agency’s funding base
- Prepares fundraising letters, proposals and other appropriate requests
- Develops financial impact projections for new ventures being considered
- Approves all agency expenditures
Personnel Management
- Provides oversight and direction for all personnel functions
- Implements established personnel policies and procedures
- Supervises all agency personnel
- Recruits, hires, and trains staff
- Evaluates staff performance on an ongoing basis
- Ensures written evaluations are completed on all personnel annually
- Maintains appropriate documentation of personnel actions
- Ensures appropriate scheduling of personnel
- Consults with the board of directors on salary and disciplinary matters
- Ensures appropriate use of volunteers to expand the agency’s capacity to provide services
Administration
- Plans, organizes, and evaluates the administrative functions of the agency
- Manages the physical assets of the agency
- Negotiates and executes contracts/leases/agreements for the organization
- Ensures satisfaction with services received from vendors
- Manages technology resources
- Manages all aspects of the physical office
- Maintains the agency’s presence on the Internet
- Oversees all supply and equipment purchases
Program Management
- Supervises all programs operated by the agency
- Develops new programs in response to unmet needs
- Evaluates services provided in relation to goals and objectives
- Attends program events, as appropriate
- Reports program activities and accomplishments to the board of directors
- Ensures appropriate documentation and reporting of services to funding sources
Public/Community Relations
- Interprets the agency’s role and services to the community
- Networks with other entities and organizations as appropriate
- Seeks out opportunities to promote the agency and its services
- Maintains relationships with appropriate local, state, and national groups
- Ensures regular communication with constituents
- Approves all external communications of the agency
- Schedules and facilitates visits to the agency
- Serves as the designated spokesperson for the organization
- Seeks out opportunities for media attention and coverage of events

- Formal training or experience in administration and program supervision
