Designate A Proxy

Memorandum: Annual Council Meeting Proxy Designation

NCIL will be holding its Annual Council Meeting on Wednesday, July 24, 2019 from 2:30 p.m. to 5:30 p.m. at the Grand Hyatt in Washington, DC. At this meeting, NCIL members will have the opportunity to vote for individuals to serve on NCIL’s Governing Board, as elections will be held for:

This year, elections will be held for: President, Treasurer, and three Members-At-Large. Elections for Representatives of Regions I, III, V, VII, and IX will be held prior to the Annual Conference and the winners will be announced at the meeting. NCIL members will also vote on resolutions and other issues brought before the membership.

If you or a designee from your organization is unable to attend the Annual Council Meeting, you may designate another NCIL member to vote for you via proxy.

NCIL Bylaws and Procedures allow for voting by proxy: “Members not present at the Annual Council Meeting may cast their vote by proxy by designating a current NCIL member as their representative in writing.”

This written authorization must be completed using the link below or submitted on your organization’s letterhead, signed by the executive director and / or president of the member organization. Individual members must use the link below or submit a letter signed by the member designating whom their proxy should be given to.

Proxies must be received by Friday, July 12, 2019 by 5:00 p.m. Eastern. Proxies not sent by July 12, 2019 may also be handed in at the membership table at the NCIL Conference. All proxies must be received and all voting cards picked-up by the commencement of the Annual Council Meeting, 2:30 p.m. Eastern on Wednesday, July 24, 2019.

Please note:

  • Organizational Members may only designate one individual to act as their representative at the Council Meeting.
  • NCIL’s Bylaws require that proxy-holders be NCIL members.
  • CILs and SILCs must pay their 2019 dues in full by June 24 (30 days prior) to be eligible to vote in person or by proxy.
